A few months ago, we launched Baxter into the wild, and we’ve since been working hard to integrate it with all sorts of systems to help our clients find efficiencies in their businesses.
Many people struggle to understand what Baxter actually does. However, once we explain its capabilities, they suddenly realise its power and start to come up with all sorts of examples where it can help.
To demonstrate what it can do I’ve outlined a few examples below, along with some details of how it tackles each workflow.
Processing Invoices
A key use case for Baxter is in automating invoice processing.
Baxter can receive PDF invoices via email, match the recipient to your CRM database (even if there isn’t an exact match), extract key invoice information such as the due date and total value, then add it to whatever systems need to be aware of that invoice.
Using Baxter in this way ensures that there’s no manual intervention required between receiving an invoice via email and adding it to your accounting system. From there, your bookkeeping team can review and settle invoices in their normal way.
Triaging Support Tickets
Ticket triage is the process of managing incoming support tickets, involving categorising and prioritising tickets.
Baxter can work through these tickets, reading and processing them in a very human way. This includes closing off tickets that are complete, but not marked as such, re-surfacing ageing tickets, prioritising, and categorising based on content, and even recommending solutions based on your previous ticket history.
Integrating Baxter to the ticket triage process not only saves time, but analyses each ticket based on delay, customer sentiment and criticality ensuring none fade into the backlog.
Screening Sales Leads
Sales teams often deal with an overwhelming influx of leads, making it challenging to prioritise effectively.
Baxter can review incoming sales leads, responding with follow-up questions, then categorising and prioritising them before adding them to your CRM.
By automating lead screening, Baxter ensures your team focuses on the most valuable opportunities, improving conversion rates and overall efficiency.
Content Review
In industries where compliance is critical, reviewing user-generated content can be a significant challenge.
Baxter can review user-generated content for compliance with guidelines, flagging inappropriate or harmful content. This could be useful for integrating into a website publishing workflow to ensure your staff post content that aligns with your company values.
This ensures that published material aligns with your company values and regulatory requirements.
E-Commerce
Baxter can take orders placed via email and convert them into a structured order within your e-commerce platform. Where products requested are out of stock, Baxter can also recommend similar products from your catalogue that are available.
Acting almost as a ‘Sales Assistant’, Baxter improves customer satisfaction and reduces manual workload, while intelligent product recommendations drive additional sales.
Staff Onboarding
Managing new hires can be resource-intensive.
Baxter can integrate into your HR platform, helping you manage the process of onboarding your staff, ensuring all information has been collected, re-prioritising cases that are delayed, or generating progress reports for the wider team.
This not only improves the experience for new hires, but also allows HR teams to focus on other important initiatives.
Expense Management
Baxter can receive an email from a staff member with a receipt attached, then process that expense into your accounting platform, flagging any unusual claims along the way.
By automating this tedious task, Baxter reduces errors and ensures expenses are processed quickly and accurately.
Event Management
Handling and managing enquiries for events can overwhelm your team, especially on-top of organising them.
Baxter can operate as the first responder to an event’s main email address, responding to queries based on a list of commonly asked questions and information about the event. For questions it can’t answer, it could escalate the question to a human.
Conclusion
Hopefully these examples give you a better feel for what Baxter can do, and perhaps you are already thinking of some ways it could help your business.
